Etsy bookkeeping, without the spreadsheet

Billfetch reads your Etsy orders and payment account and turns them into sales, fees, refunds and payouts your accountant can follow line by line.

What Billfetch collects from Etsy

Billfetch reads two things from your shop: your orders (Etsy calls them receipts) and your payment account ledger, the running statement of everything Etsy adds to or takes from your balance. From those it creates:

  • Sales — each paid order becomes a sale record.
  • Refunds — refunded orders are recorded as refunds, not hidden inside a lower sales figure.
  • Etsy fees — listing and renewal fees, transaction fees, payment processing fees, Etsy Ads and Offsite Ads fees, subscriptions such as Etsy Plus and the regulatory operating fee, each as its own fee line. Fee refunds and credits reduce your fees instead of counting as income.
  • VAT on Etsy’s fees — recorded as a cost line next to the fees, so you and your accountant can see it.
  • Tax Etsy collects for you — sales tax or VAT that Etsy collects and pays on your behalf is shown separately and kept out of your sales total.
  • Payouts — each deposit to your bank is recorded as a payout. A payout isn’t income; it’s the moment Etsy money reaches your bank.

If Etsy reports an entry type that Billfetch doesn’t recognise, it isn’t guessed. It goes to review, where you can see it.

Payouts matched to your bank

Etsy pays you a net amount, which never looks like any single sale. If your bank is connected too, through Wise, Starling or a CSV statement, Billfetch matches each Etsy payout to the deposit in your bank. The bank line then has an explanation, and the sales, fees and refunds behind it are already in your records.

How to connect Etsy

  1. Sign in to your Etsy account in the same browser.
  2. In Billfetch, open Sources, select Add connection and choose Etsy.
  3. Optionally pick a date under Collect history from to bring in earlier orders and fees.
  4. Select Continue to Etsy and approve the access on Etsy’s consent screen.
  5. If your account has several shops, pick the one to connect.

You come back to Billfetch and the shop appears under Sources. If Etsy access ever expires, use Reconnect on the card.

How often it syncs

Connected sources are checked automatically about every half hour. Select Sync now on the Etsy card when you want the latest straight away. Billfetch remembers where it got to, so each sync only picks up what’s new and nothing is recorded twice.

What it doesn’t do

  • It doesn’t download Etsy’s monthly statements or invoices as PDFs. If you want them on file, download them from Etsy and upload or forward them.
  • It doesn’t manage listings, stock or orders.
  • It doesn’t decide how anything is taxed. Billfetch records what Etsy reports; your accountant decides the treatment.
  • It doesn’t submit anything to HMRC.

Frequently asked questions

Is the Etsy connection read-only?

Yes. Billfetch asks Etsy for read access to your shop details and transactions only. It can't edit listings, change orders or move money.

Can I connect more than one Etsy shop?

Yes. Each shop is its own connection, and you assign it to the business it belongs to. Every connection counts as one connected source on your plan.

Why doesn't my Etsy payout match my sales?

Etsy pays out a net figure: sales minus fees, refunds and anything else taken from your balance. Billfetch keeps the sales, fees and refunds as separate records and matches the payout to your bank, so the difference is explained.

How far back can Billfetch collect?

When you connect, choose a date under Collect history from. Billfetch collects orders and payment account entries from that date onwards.
