What Billfetch collects from eBay
Billfetch reads your account through eBay’s Finances API, which covers the money side of selling: transactions and payouts. Each entry becomes the right kind of record:
- Sales — the gross amount of each sale.
- eBay fees — the fees on a sale are added as separate fee lines, so the sale isn’t shrunk to a net figure. Other charges eBay takes from your balance are recorded as fees too.
- Refunds — recorded as refunds. When eBay gives fees back on a refund, your fees go down rather than your income going up.
- Shipping labels — labels bought through eBay are recorded as shipping costs and linked to the order they were for. Credits on labels reverse the cost.
- Tax eBay collects — tax that eBay collects on your behalf is kept separate and out of your sales total.
- Payouts — completed payouts to your bank are recorded as payouts. They aren’t income; they’re the point where eBay money reaches your account.
Anything Billfetch can’t classify with certainty, such as disputes, adjustments or transfers, goes to review instead of being counted.
Payouts matched to your bank
eBay pays out a net amount after fees, labels and refunds, and that is the only figure your bank statement shows. Connect your bank as well, through Wise, Starling or a CSV statement, and Billfetch matches each eBay payout to its deposit. The bank line is explained, and the sales and costs behind it are already in your records.
How to connect eBay
- Sign in to your eBay seller account in the same browser.
- In Billfetch, open Sources, select Add connection and choose eBay.
- Select Continue to eBay and approve read-only access to your finances.
You come back to Billfetch and eBay appears under Sources, assigned to your business. Billfetch then collects the last 12 months. If access expires, use Reconnect on the card.
How often it syncs
Billfetch checks connected sources automatically about every half hour. Select Sync now on the eBay card for the latest straight away. Each sync starts where the last one stopped, with a small overlap, so late changes are caught and nothing is recorded twice.
What it doesn’t do
- It doesn’t manage listings, orders or messages.
- It doesn’t download eBay invoices as PDFs. Upload or forward any you want on file.
- It’s built for sellers registered on eBay UK.
- It doesn’t decide how anything is taxed or submit anything to HMRC. Billfetch records what eBay reports and your accountant takes it from there.
Frequently asked questions
Is the eBay connection read-only?
Yes. Billfetch asks eBay for read-only access to your finances. It can't list items, change orders or move money.
Do I need to create anything in eBay's developer programme?
No. You sign in with eBay and approve access; Billfetch uses its own eBay application. There are no keys to copy.
How much history does Billfetch collect?
When you connect, Billfetch collects the last 12 months of eBay transactions and payouts. After that it keeps up to date on its own.
What happens to disputes and adjustments?
They're not guessed. Disputes, adjustments, transfers and similar entries go to review, so you can decide what they are with your accountant.
