Printify costs, linked to the orders they belong to

Print-on-demand margins hide in the gap between what a customer paid and what Printify charged. Billfetch records every Printify order cost and links it to the sale.

What Billfetch collects from Printify

Billfetch reads the orders in each of your Printify shops. For every order it records the cost of goods: the production cost of each item plus the shipping cost Printify charges, in your Printify account’s currency.

Each cost is recorded as cost of goods sold, not as a general expense, which is what your accountant needs for a product business.

Costs linked to sales

Printify stores the reference of the marketplace order each print job was made for, for example your Etsy order number. Billfetch uses that reference to link the Printify cost to the sale from your connected shop, such as Etsy. There’s no guessing by amount or date: a cost is linked only when the references agree.

That gives you two things:

  • The cost sits next to the sale it belongs to, so sales, marketplace fees and production cost can be read together.
  • Gaps show up. A Printify cost with no matching sale appears in the missing list as a production cost with no matching sale. Usually that means the sale came through a channel you haven’t connected, or the order was cancelled after production.

Invoices and receipts

The Printify connection reads order data, not documents. Printify sends its invoices and receipts by email, so let Billfetch collect them the usual way:

The documents are kept unchanged in Billfetch’s document store and appear in your accountant package alongside the records.

How to connect Printify

  1. In Printify, open Account → Connections → API.
  2. Create a Personal Access Token with read access.
  3. In Billfetch, open Sources, select Add connection and choose Printify.
  4. Paste the token and select Connect Printify.

Billfetch finds your shops and stores the token encrypted. Assign each shop to the business it belongs to. If you replace the token, use Reconnect on the card.

How often it syncs

Connected sources are checked automatically about every half hour, and Sync now on the card fetches the latest straight away. Orders already recorded aren’t recorded again.

What it doesn’t do

  • It doesn’t create, change or cancel orders in Printify.
  • It doesn’t fetch Printify invoices; use email or forwarding for those.
  • It doesn’t decide how costs are taxed or submit anything to HMRC.

Frequently asked questions

Does Billfetch download my Printify invoices?

No. The connection reads order costs. Printify's invoices and receipts arrive by email, so forward them to your Billfetch address or connect the mailbox they land in.

I have several Printify shops. Do I need several connections?

No. One token covers your Printify account, and Billfetch finds every shop in it. Each shop's orders are tracked separately.

What happens to a cost Billfetch can't link to a sale?

It appears in the missing list as a production cost with no matching sale, so you can check whether the sale came from a channel you haven't connected yet.

Is the token read-only?

Create it with read access only. Billfetch can't create, change or cancel Printify orders.
