Your forwarding address is a private email address that belongs to your Billfetch account. Anything sent to it lands in Billfetch as a document. Billfetch reads only this address — it never touches your own mailbox.
Create your address
- Open Sources and select Add connection.
- Under Email & documents, choose Billfetch forwarding address.
- Select Create my forwarding address.
- Select Copy to copy it.
You can come back to the same screen at any time to copy the address again.
Three ways to use it
- Forward bills by hand. When an invoice arrives in your inbox, forward it to the address.
- Give it to suppliers. Set it as the billing email in your supplier accounts, so invoices go straight to Billfetch.
- Forward automatically. Set up a rule in Gmail or Outlook so invoice emails are passed on without you doing anything.
PDF attachments are saved as documents. If an email has no PDF attached — some suppliers put the invoice in the email itself — the email is saved instead.
Forward automatically from Gmail
- In Gmail’s forwarding settings, add your Billfetch address as a forwarding address.
- Gmail sends a confirmation code to that address. It appears on the forwarding address screen in Billfetch within a few minutes. Enter it in Gmail.
- Create a Gmail filter for invoice emails (for example, subject: invoice OR receipt) and choose Forward it to your Billfetch address.
Forward automatically from Outlook or Microsoft 365
Create a rule in Outlook that forwards invoice emails to your Billfetch address.
In Microsoft 365, your organisation may block forwarding to outside addresses. If so, ask your admin, or connect the mailbox with Microsoft sign-in instead (see Connect Gmail or Outlook).
What happens next
Each document is read and appears in This month under Awaiting approval, with a suggested supplier, amount and category. Once you approve it, Billfetch matches it to the payment in your bank.
The address screen also shows how many documents have arrived today. There is a daily limit to protect your account from spam; if it’s reached, extra emails are skipped and the screen tells you how many.
Keep the address private
Anyone who knows the address can send documents to it. If it ends up somewhere it shouldn’t, select Create a new address. The old address stops working immediately, so remember to update your forwarding rules and any suppliers who use it.
Tip: Sending the same invoice twice is harmless. Billfetch spots documents that are already in your vault.
