You can bring your past receipts and invoices across from Dext or AutoEntry. Billfetch reads the export file for the details and the images archive for the documents themselves. Each row whose image is in the archive becomes a document in Review, with the old tool’s values shown as suggestions.
What you need
Two files from your old tool:
| File | Dext | AutoEntry |
|---|---|---|
| Export file | Costs (or Archive) › select the items › Export › CSV. Any of Dext’s CSV layouts works (“Dext default”, “with tax”, “with payment details”). Excel (.xlsx) works too. | Download › CSV or Generic Excel (.xlsx). The first column holds the link to each document. |
| Images | The ZIP tab: download the original files as one ZIP archive. | A ZIP of the documents. AutoEntry support provides it on request. |
Billfetch matches each row to an image by file name. It uses the image column (a file name or a link) and looks for a file with the same name anywhere in the ZIP; folders and capital letters don’t matter. Rows are never matched by guessing from the date or amount.
Import
- Open Settings and choose Move from Dext / AutoEntry under Integrations.
- Choose Dext or AutoEntry.
- Under Export file, select Choose file (or drag the file onto the box) and pick the CSV or Excel export.
- Under Images (ZIP), choose the images archive.
- Select Preview. Billfetch shows how many rows it found, how many have a matching image and which don’t.
- Check the column mapping. Billfetch fills it in from the column names; change any column that’s wrong. Date, Total and Image file / link are required.
- Select Import.
The documents appear in Review like any upload. Their supplier, total, tax, currency, category and description from Dext or AutoEntry are shown as suggestions. Billfetch still reads each document itself, and you decide what’s correct.
Rows that aren’t imported
A row without a usable image never becomes a document. Billfetch lists each one with the reason:
- no image in the row: the image column is empty.
- image not in the ZIP: the file named in the row isn’t in the archive. Download the archive again, or add the file.
- image over 25 MB: the same limit as a normal upload.
- not a PDF, JPEG or PNG: Billfetch checks the file’s contents, not just its name. Other formats (for example HEIC or TIFF) aren’t imported.
Limits
| File | Limit |
|---|---|
| Export file | .csv (UTF-8; comma, semicolon or tab separated) or .xlsx (first sheet), up to 10 MB and 20,000 rows |
| Images archive | one .zip, up to 80 MB and 5,000 files; it may expand to at most 500 MB |
| Each image | PDF, JPEG or PNG, up to 25 MB |
Old Excel files (.xls), Numbers files and PDF reports can’t be read. Open them and save as .xlsx or CSV first.
If your history is bigger than this, export it in parts, for example one year at a time, and import each part. Importing the same document twice is safe: documents already in your vault are skipped and counted as already in your vault.
For your safety, Billfetch refuses an archive that contains file paths pointing outside the archive (such as ../), or that expands to an unusually large size. Download a fresh archive from Dext or AutoEntry if this happens.
