Invite your accountant

Give your accountant read-only access to a business: what they can see, and how their questions reach you. · 4 min read

Instead of emailing ZIP files back and forth, you can invite your accountant into Billfetch. They get their own read-only view of your books and can ask you questions about specific records.

Send the invitation

Accountant access is set up per business.

  1. Choose the business at the top of the page.
  2. Open Closing and go to the Accountant tab. (You can also get there from Settings › Businesses: open the Accountant access tab and select Manage.)
  3. Under Invite an accountant, enter their Email, and optionally their Name and the Email language.
  4. Select Send invitation.

Your accountant receives an email with a link. They don’t need a password. They enter the invited email address, and we send them a 6-digit code to sign in.

If you look after several businesses with the same accountant, invite them to each one. They’ll see all their clients in one list.

What your accountant can see

For each business they’re invited to, your accountant can view:

  • Summary — income and expenses for a month, quarter or year
  • Packages — every accountant package you’ve prepared, newest first, ready to download
  • Records — your records, line by line
  • Documents — the invoices and receipts, to view or download

Everything is read-only. Your accountant can’t approve, change or delete anything.

Questions and answers

When your accountant needs something, they can select Ask on a record or Ask about this period on the summary.

  • You get an email saying there’s a question. The question itself stays in Billfetch.
  • The question appears in This month under Questions from your accountant. Select Reply, write Your reply and select Send reply.
  • Your accountant gets an email when you reply. Select Close question once it’s resolved.

You can see every conversation in Closing › Accountant under Questions and answers.

Documents from your accountant

Each accountant has their own address for sending you documents, such as corrected invoices. You’ll find it on the Accountant tab, with a Copy address button. Documents they email to it land in Review, marked From your accountant. If something arrives from a different sender, it’s labelled as unverified.

Packages and notifications

On the Accountant tab you can:

  • turn on Email when a package is ready, so your accountant hears about each new package
  • see each accountant’s last sign-in, and under Packages sent, whether a package has been downloaded
  • select Copy link to send them the sign-in link yourself

Removing access

Select Remove access and confirm. Your accountant can no longer open the business, and any session they have open loses access straight away. To restore it, invite them again.

Tip: If you’re not sure what to ask your accountant to check, prepare a package first. Open tasks go into it as the missing list.
